GoHighLevel setup checklist: what to include and what it costs
What a complete GoHighLevel agency setup should include, from A2P registration and pipelines to workflows and handover, plus typical setup pricing.
Dymaxel Systems teamOctober 17, 20266 min readA complete GoHighLevel agency setup should include a clean CRM pipeline, connected phone numbers with A2P 10DLC registration, at least one working funnel and form, a booking calendar, missed-call text-back, tested follow-up workflows, review requests and a simple reporting dashboard. Larger setups add Conversation AI, payments, memberships, ad lead sync and a CRM migration. With Dymaxel, setup starts from $1,500 for a launch build and typically runs $3,500 to $6,500 for growth and done-for-you builds, with GoHighLevel's own subscription paid to HighLevel separately.
The checklist below is what we work through on a new sub-account. Use it to scope your own build, compare agency quotes, or audit an account someone else set up.
What should the foundation of a GoHighLevel account include?
Everything else depends on these basics, and they are the items most often skipped.
- Business profile: legal name, address, time zone, company phone and email. Time zone errors break every scheduled message.
- Users and permissions: one login per person, with roles that hide settings from staff who do not need them.
- Domain and email sending: a sending domain or subdomain with SPF, DKIM and DMARC records set, so email reaches inboxes.
- Phone numbers: LC Phone numbers purchased or ported, call forwarding and voicemail configured.
- A2P 10DLC: brand and campaign registered in the Trust Center before any SMS goes to US numbers.
- Custom fields and tags: a short, documented list. Fifty unplanned tags is a sign of trouble later.
- Pipeline: stages that match how you actually sell, for example New lead, Contacted, Booked, Showed, Won, Lost.
What lead capture and booking pieces are needed?
- At least one funnel or landing page per main offer, built on your domain and checked on mobile.
- Forms or surveys that write into the right custom fields and record the lead source.
- A booking calendar with real availability, buffers, confirmation and reminder messages.
- A web chat widget on the highest-traffic pages.
- Facebook, Instagram and Google Business Profile connected, so messages arrive in one Conversations inbox.
- Missed-call text-back switched on with a message in your own voice.
Test every form with a real submission. Broken hidden fields and redirect pages are surprisingly common in accounts we audit.
Which automations should every setup include?
A small number of reliable workflows beats a large library of half-tested ones. The core set:
- New lead response: instant SMS and email, team alert, opportunity created. We explain this build in detail in how to set up instant lead follow-up in GoHighLevel.
- No-reply follow-up: a short timed sequence that stops on reply or booking.
- Appointment confirmation and reminders, with a no-show follow-up on the Appointment Status trigger.
- Review request after a job is marked won or an appointment shows.
- Stale lead alert using the Stale Opportunities trigger, so nobody sits in "Contacted" for two weeks.
Growth builds usually add Conversation AI for SMS and chat replies, payment links or invoices, a reactivation campaign for old leads, and ad lead sync from Facebook, Google or TikTok lead forms. Each workflow should have a clear name, a note on what it does, and a test record that proves it works.
How much does a GoHighLevel setup cost?
There are two separate costs: the HighLevel subscription you pay to HighLevel, and the setup work you pay an agency or freelancer for.
HighLevel's pricing page lists Starter at $97 per month (3 sub-accounts), Unlimited at $297 per month and Agency Pro at $497 per month, all with unlimited contacts and users. Usage is extra: SMS, calls and email are billed through the account wallet, A2P 10DLC has registration and monthly campaign fees passed through from the carriers, and AI is either pay-per-use or $50 or $97 per sub-account per month for the AI Employee plans.
Dymaxel's typical setup pricing, in USD, looks like this:
| Package | Starting price | Typical timeline | What it covers |
|---|---|---|---|
| Launch | $1,500 | 1-2 weeks | CRM pipeline, 1 funnel and form, calendar, missed-call text-back, 3 follow-up workflows |
| Growth | $3,500 | 2-4 weeks | Up to 3 funnels, Conversation AI, review requests, 8 workflows, payments |
| Done-for-you | $6,500 | 4-6 weeks | Website, memberships or courses, ad lead sync, custom reporting, CRM migration |
| Audit and fix-up | From $750 | Varies | Review of an existing account, broken workflows fixed, cleanup plan |
| Agency snapshot | From $2,500 | Varies | A reusable template for agencies rolling out many sub-accounts |
Optional monthly management runs $400, $900 or $1,800 per month depending on how much ongoing work you need, such as new campaigns, workflow changes and reporting. These are starting points, not quotes. The exact price comes from the free consultation, once we know your lead sources, how many funnels and workflows you need and whether data has to move from another CRM.
The biggest swing factor is migration. Moving contacts, deal history and notes from HubSpot, Salesforce or spreadsheets is usually the line item buyers underestimate. If you are still choosing a platform, our GoHighLevel vs HubSpot comparison covers the trade-offs.
How long does a GoHighLevel setup take?
The build itself is rarely the slow part. A launch setup for one location typically takes one to two weeks, a growth build two to four weeks, and a done-for-you build with a website, memberships and migration four to six weeks. What stretches those timelines is usually waiting on things outside the builder:
- A2P 10DLC brand and campaign approval, which involves third-party vetting.
- Porting phone numbers from your current carrier.
- Access to ad accounts, domains and DNS, often held by a former agency or web developer.
- Content: offers, prices, photos and the wording of follow-up messages the owner approves.
- Exporting clean data from the old CRM.
We send a short access and content list in the first week so these run in parallel with the build, and we demo progress weekly so nothing is a surprise at launch.
What should you get at handover?
A setup is not finished when the workflows are switched on. It is finished when your team can run it without the agency. Ask for:
- Admin access on an account you own, not a sub-account the agency can take away.
- A written list of workflows, triggers, tags and custom fields, with what each one does.
- Proof of testing: a test lead through every source, and the results.
- A dashboard showing leads by source, time to first response, booked appointments and won deals.
- A short recorded walkthrough for the people who will use it daily.
- A clear support arrangement after launch, with response times and what is included.
At Dymaxel, clients own everything we build: the account, the workflows, the funnels and the data. Ongoing support plans can be paused or cancelled.
What are the most common setup mistakes?
- Sending SMS before A2P 10DLC approval, then fighting blocked messages and flagged numbers.
- Importing a contact list without consent records and running a blast campaign on day one.
- Follow-up sequences that keep texting after the lead has booked.
- Several overlapping workflows on the same trigger, so leads get two or three welcome texts.
- Installing a purchased snapshot without adapting it, which leaves someone else's tags, fields and placeholder messages in the account.
- No reporting, so nobody can tell which lead source or message is working.
Most of these are cheap to fix early and expensive to fix after months of live use, which is why an audit is often a good first step for an existing account.

Frequently asked questions
Do I need my own GoHighLevel subscription, or can the agency provide it?
Either works. Many agencies host clients as sub-accounts under their own HighLevel plan. The risk is that you do not control the account if you part ways. If you want full ownership, hold the subscription yourself, starting with the $97 Starter plan for a single business, and give the agency user access to build in it.
Is a GoHighLevel snapshot a substitute for a custom setup?
A snapshot is a template that copies funnels, workflows, pipelines and custom fields into a sub-account. It speeds up setup, but it still needs your branding, messages, phone numbers, calendars, domain and A2P registration. Treat a purchased snapshot as a starting point and budget time to adapt and test it, or it will carry someone else's assumptions.
Can you set up GoHighLevel for multiple locations?
Yes. Each location usually gets its own sub-account with its own phone numbers, calendars and reviews, built from a shared snapshot so workflows stay consistent. Reporting across locations can be handled with agency-level views or an external dashboard. Price depends on how much differs between locations, so we scope it after seeing your structure.
What ongoing costs should I budget after setup?
Budget for the HighLevel plan, usage charges for SMS, calls and email, A2P 10DLC monthly campaign fees, any AI Employee plan, and optional add-ons such as WhatsApp. If you want someone to keep improving campaigns and workflows, our management plans start at $400 per month. Ask for a usage estimate based on your expected lead volume.
Can you fix a GoHighLevel account another agency built?
Yes. An audit and fix-up starts from $750. We review the pipelines, workflows, forms, phone and SMS setup and reporting, fix what is broken, and give you a written list of what remains and what it would cost. It is often cheaper than rebuilding, unless the account has years of conflicting workflows and tags.
