How to set up instant lead follow-up in GoHighLevel

A step-by-step build for replying to every new lead within a minute in GoHighLevel, from missed-call text-back to timed follow-ups that stop when the lead replies.

To set up instant lead follow-up in GoHighLevel, connect every lead source to the CRM, turn on missed-call text-back, and build one workflow per source that sends an SMS and email within a minute, alerts the right team member and offers a booking link. Then add timed follow-ups that stop the moment the lead replies or books. Done properly, every new enquiry gets a personal-sounding reply before it has time to call your competitor.

This guide walks through the build we use as a starting point in most GoHighLevel sub-accounts, with the trigger and action names as they appear in HighLevel's workflow builder in October 2026.

Why does speed of follow-up matter so much?

A person who fills in a form or calls a local business is usually contacting two or three others at the same time. The business that replies first gets the conversation, and the conversation usually gets the booking. HighLevel's own lead-capture guide flags "not following up within 5 to 15 minutes" as a common mistake, and in our experience even that window is too slow for high-intent enquiries such as emergency repairs or same-week appointments.

Speed is not only about software. It depends on which numbers are connected, whether SMS is registered for delivery, and whether someone is told to pick up the conversation. The steps below cover all three.

Step 1: connect every lead source to the CRM

A follow-up workflow can only fire on leads that GoHighLevel knows about. List every place leads arrive, then connect each one.

  • Website forms: replace or embed GoHighLevel forms so submissions create contacts directly.
  • Phone: port or forward your main number to an LC Phone number, so inbound calls are logged against contacts.
  • Facebook and Instagram: connect the pages so lead ads and DMs land in Conversations.
  • Google: connect your Business Profile, and use the Google Lead Form Submitted trigger for Google Ads lead forms.
  • Web chat: install the chat widget on your highest-traffic pages.
  • Other tools: use the Inbound Webhook trigger for sources without a native connection, for example a booking tool or a partner referral form.

Before you build anything else, submit a test lead from each source and confirm a contact appears with the source recorded. Missing attribution is the problem we find most often when auditing an existing account.

Step 2: register SMS and turn on missed-call text-back

If you text US mobile numbers from a local 10-digit number, carriers require A2P 10DLC brand and campaign registration, done in HighLevel under Settings, Phone System, Trust Center. Unregistered traffic gets blocked. Approval involves third-party vetting, so start this on day one.

Next, switch on missed-call text-back. In the current interface it sits under Phone System, Voice, Voicemail and Missed Call Text Back. You set how long the phone rings before the text is sent (HighLevel suggests 10 to 20 seconds) and write the message. Answered calls never trigger it. Keep the text short and specific:

Hi, this is Sam at Northside Plumbing. Sorry we missed your call. Reply here with what you need and your address, or book a time: {{booking link}}

That example business is invented for illustration. Use your own name and a real booking link. A message that sounds like a person gets more replies than one that sounds like a system notice.

Step 3: build the instant response workflow

Create one workflow per lead source, or one workflow with several triggers if the message can be the same. A typical structure:

TimingWorkflow stepPurpose
TriggerForm Submitted, Facebook Lead Form Submitted or Inbound WebhookStart the sequence the moment the lead arrives
0 minutesCreate or update opportunity in the "New lead" stagePut the lead on the pipeline so nobody loses it
0 minutesAssign to user (round robin if you have several)Give one person ownership
0 minutesSend SMS with name, the service they asked about and a booking linkReply while the lead is still on their phone
0 minutesSend email with the same informationCover leads who prefer email or gave a landline
0 minutesInternal notification to the assigned userPrompt a human to call
OptionalCall actionRing the assigned user first, then connect them to the lead

The Call action is worth testing for high-value leads. HighLevel calls the assigned user (or the company phone if the contact is unassigned), plays a whisper message such as "New roof repair lead from the website", and then dials the lead. Your team member is on the phone with the lead within a minute, without dialing anything.

Use custom values and contact fields in every message, at least first name and service requested. Generic texts like "Thanks for reaching out!" read as automation and get ignored.

Step 4: add timed follow-ups that stop on reply

Most leads do not reply to the first message. A short sequence over a few days catches the ones who were busy. A sensible default:

  1. After 1 hour with no reply: a short SMS asking one easy question ("Is this for your home or a business?").
  2. Next morning: an email with useful detail, such as typical price range, availability or what to expect at the first visit.
  3. Day 2: an SMS with the booking link and one specific time slot.
  4. Day 4: a final "should I close this off?" message, which often gets a reply.
  5. After that: move the opportunity to a nurture stage and hand over to a monthly newsletter or reactivation campaign.

The most important rule is that the sequence stops as soon as the lead engages. Use the workflow's stop-on-response setting, plus a separate workflow on the Customer Replied and Customer Booked Appointment triggers that removes the contact from the sequence and moves the opportunity forward. Nothing damages trust faster than a "still interested?" text arriving an hour after someone booked.

Respect quiet hours and consent. Restrict SMS steps to business hours in the contact's time zone, and keep opt-out handling on. HighLevel honors Do Not Disturb settings, but your messages should also say how to stop them.

Should you use Conversation AI for lead follow-up?

Conversation AI can answer replies on SMS, web chat, Facebook, Instagram and other channels, and it can be set up to book appointments into a calendar. It runs in three modes: Off, Suggestive (it drafts replies for a person to approve) and Auto-Pilot (it replies on its own, up to a message limit you set before it goes to sleep).

Our advice is to start in Suggestive mode for the first couple of weeks. Every edit your team makes to a draft shows a gap in the bot's instructions or knowledge base. Once the drafts are consistently right, switch the routine channels to Auto-Pilot and keep a human on anything involving pricing exceptions, complaints or regulated advice.

Cost is usage-based. HighLevel offers pay-per-use token billing, an AI Employee Growth plan at $50 per month per sub-account (1,000 Conversation AI responses a month) and an Unlimited plan at $97 per month. For a new account, pay-per-use for the first month shows real volume before you commit. For a broader view of what AI can safely handle, see AI agents for small business.

How do you know the follow-up system is working?

Test it, then measure it. Before launch, submit a lead from every source using your own phone and email, and miss a call on purpose. Check that the text arrives, the opportunity lands in the right stage, the right person is notified and the sequence stops when you reply.

After launch, track a few numbers each week:

  • Time to first response, for automated and human replies separately.
  • Reply rate on the first SMS.
  • Leads that reach "Booked" within 7 days, by source.
  • Leads that stall in "New lead" with no human contact.
  • SMS delivery errors (the Messaging Error trigger can alert you).

A pipeline dashboard covering these is part of any setup we hand over, because without it you cannot tell whether a low booking rate is a message problem, a speed problem or a lead quality problem. If you want the full list of what a complete account should include, read our GoHighLevel setup checklist.

We build these workflows as part of our GoHighLevel setup and automation service, test them on your real lead sources, and you keep full ownership of the account and every workflow. If your current account already has follow-up that misfires, get in touch and we will tell you what is broken.

The free 45-minute meeting is a good place to start. Bring a list of your lead sources and how you reply today, and we will sketch the follow-up flow and give you a written fixed-price scope if it makes sense to build it.

Frequently asked questions

How many follow-up messages should a new lead get?

For most service businesses, four to six touches over four or five days is enough: an instant SMS and email, a reply prompt after an hour, a next-day email and one or two booking nudges. After that, move the lead to a slower nurture sequence. More messages in a short window usually increase opt-outs without increasing bookings.

Can GoHighLevel follow up with leads from Facebook lead ads?

Yes. Once your Facebook page is connected, the Facebook Lead Form Submitted trigger starts a workflow as soon as a lead ad form comes in, and the contact is created with the form answers. Map the form questions to custom fields so your first SMS can mention the service they selected, then follow the same sequence as your website leads.

Does missed-call text-back work outside business hours?

Yes. It fires on any unanswered inbound call to a connected number, including evenings and weekends, which is when it is most useful. You can write the text to set expectations, such as saying someone will call back in the morning, and include a booking link so the caller can choose a time without waiting.

What if a lead only gives an email address?

Build the workflow with an If/Else branch that checks whether the phone field is filled. Leads with only an email skip the SMS and call steps and get the email sequence instead. Ask for a mobile number on your forms with a short reason, such as appointment reminders, because SMS reply rates are usually higher than email.

How long does it take to set up lead follow-up in GoHighLevel?

The workflows themselves take a few days to build and test. The longer items are usually outside the builder: A2P 10DLC approval, porting or forwarding phone numbers, connecting ad accounts and writing messages the owner is happy with. For a single location with two or three lead sources, one to two weeks end to end is typical.
